Digital consignment notes are not new, but they have often lived in separate systems that did not speak to one another. The European eFTI framework is meant to change that: competent authorities will be able to receive regulatory freight information electronically through certified platforms.

That does not mean every paper document disappears overnight. The useful change is more basic — the same structured transport data can be presented without printing another copy for every checkpoint. For a small carrier, fewer duplicate entries may matter more than the technology behind them.

The weak point is usually data quality. Customer name, loading place, goods description, weight, vehicle and reference numbers are frequently written differently in the quote, dispatch sheet and invoice. Digitising that disorder only makes the mistakes travel faster.

Before choosing software, map where each piece of information is created and who corrects it. Clean master data and a simple handover from quote to job and invoice will save more time than a complicated platform nobody in the office wants to use.
